Event Refund and Cancellation Policy

Effective date: July 22, 2021

Ride Guide MTB, LLC (“us”, “we”, or “our”) operates the http://rideguide.bike and https://rideguidemtb.com websites (the “Service”).

This page informs you of our policies regarding cancellation of events and refunds of ticket or registration fee purchases and physical products.

We register some of our participants through Eventbrite. Please click here to review Eventbrite’s Legal Terms.

By using the Service, you agree to the terms in accordance with this Refund and Cancellation policy. Unless otherwise defined in this Refund and Cancellation Policy, terms used in this Refund and Cancellation Policy have the same meanings as in our Terms and Conditions, accessible from http://rideguide.bike and https://rideguidemtb.com.

Definitions

"Service" is the http://rideguide.bike and https://rideguidemtb.com website operated by Ride Guide MTB, LLC

"Participant" is a client who attends a clinic, camp, private lesson or guided ride by the Service.

"Participant, Registrant or Registered Participant" is a person who registered and will be participating in the event.

"Purchaser" is a client who purchases a product or any ticket through the Service.

"Client" is a person who is a Participant and/or a Purchaser.

"Product" consists of branded physical product and branded merchandise sold by the Service. Examples of products include: water bottle, apparel, bags, etc.

"Ticket"" is a document that provides proof of purchase to an event hosted by the service.

"Registration Fee" is the fee of the event that the client must pay to attend.

"Registration" is a form where a participant will sign up and register for an event of their choosing.

"Event" is either a skills workshop, skills clinic, skills camp, private sessions or guided ride provided by the Service.

"Clinic" is a single-day skills event.

"Camp" is a multi-day skills event.

"Workshop" is either a single or multi-day event.

"Transfer or Reschedule" is to move a registered participant to another event date.

"Private Session" is also known as Private Lesson, which consists of a one-on-one or small group clinic (up to 4 Participants).

"Guided Ride" is a short event where a Guide from the Service takes the participant on a ride and shows them the direction of trails.

"Guide" is a person who works for the Service that takes participants on a guided ride with no instruction.

"Instructor" is a person who works for the Service that provides instruction to a Clinic, Camp and/or Private Lesson.​​

COVID-19 Refund Policy

In consideration for the global pandemic of COVID-19, we've adjusted our policy to allow refunds, cancellations and reschedules. 

If you receive a positive COVID-19 diagnosis for yourself or someone you live with you are required to quarantine as a result of a contact-related exposure.

The following applies to any registered participant who is unwilling or unable to meet the requirements in our COVID-19 response:

  • Up to 7 days before the event: transfer, credit or full refund.

  • 6 or fewer days before the event: transfer, credit, and no refund.

  • No show: no transfer, no credit, and no refund.

  • If a registrant arrives ill, the registrant will not be able to participate in said event and will receive: no transfer, no credit, and no refund.

We will trust the reasoning provided with each event cancellation, and will process it according to the policy. We ask for honesty and consideration, as we'd like to maintain positive policies while still striving to support operations appropriately.

Refunds and Returns

Events

We must use the profits of ticket purchases to fund the reservation of the event costs that include: permits, rental equipment, accommodations, travel costs, food, beverages, mountain bike gear, and compensation for our instructors and guides. By registering for an event by purchasing a registration fee through the Service (Clear Event, Stripe, PayPal, direct invoice, on www.rideguide.bike or www.rideguidemtb.com), the Client understands the following terms:

No Refund:

All sales are non-refundable. 

Transfer Allowed:

If you cannot attend the event, you may either transfer your purchase to another person or transfer your registration to another identical event. 

If the event is rescheduled or cancelled:

All purchases will be honored for the rescheduled event date. All purchases may be refunded in full, transferred, or given credit to be used within 180 days. If given credit, a full refund will be issued on day 181 since initial purchase if credit is not used. 

If Ride Guide has to cancel any event due to weather or any unforeseen circumstance, we will offer the following 3 options at no additional cost:

  1. Transfer to another event with the same registration fee price.

  2. Transferable credit to be applied to any future event within 6 months from the date of purchase. If the credit is not used by the deadline, the registrant will receive a full refund on day 181 from the initial event purchase.

  3. Full refund.

The following applies if the registrant must cancel their registration for any personal reason including pre-event injury, work event, family matters, etc:

  • There will be no refunds.

  • We can transfer to an alternate date.

  • There will be no refund if the registered participant does not show up to the event or is late.

At no additional cost, we can transfer registered participant(s) to another scheduled date and location as long as ALL of the following applies:

  • Identical event.

  • Exact registration fee.

  • Within 180 days of the cancelled event date.

At no additional cost, we can give a registered participant credit to use for another scheduled date and location as long as ALL of the following applies:

  • Identical event.

  • Exact registration fee.

  • Used within 90 days of cancelled event date, or the credit will be forfeited.​

Physical Products

If a Purchaser is unhappy with our Product, we will accept returns. The Purchaser must pay return shipping and a full refund will be issued after we receive the Product in perfect working condition.

Changes To This Refund and Cancellation Policy

We may update our Refund and Cancellation Policy from time to time. We will notify current registrants of any changes as we update the Refund and Cancellation Policy on this page.

We will let you know via email and/or a prominent notice on our Service, prior to the change becoming effective and update the “effective date” at the top of this Refund and Cancellation Policy.

You are advised to review this Refund and Cancellation Policy periodically for any changes. Changes to this Refund and Cancellation Policy are effective when they are posted on this page.
